Portal Logins for Circles

Working with your circles and giving them the correct circle portal access

The client portal has the ability for users to gain visibility of plans and assets for the circles they are in.

Users can control circle member visibility via the client or circle portal access.

These access levels sit under the individual contact, under Access, or under the circle itself under Access > Circle tab:

This means you can either decide on individual permissions at circle level or client level.

There are three access levels;

None, Read, and Write

None = No portal access

Read = Portal access with read rights

Write = Portal access with ability to write and delete

ⓘ Circle access setting for all contacts will be set to none by default.

When a user logs into the portal and has circle access, they will be able to switch to the circle(s) they have access to:

How can I control plans not being visible to circle members?

Where you don't want a plan to be visible to members of the circle, there are options to allow you to do this.

The fields that control circle visibility are;

These are displayed when creating a new plan. Visibility of the plan on the portal can be seen under the Plan Visibility menu which is under the Plan > Details section

Wrap plans

For wrap plans, the parent wrap plan value is used for the totals and graphs.

Visibility of wrap plans on the portal are controlled by the parent wrap i.e. if the Parent wrap is not visible then the plans under the wrap will not be visible either.

What does a user see in a circle vs the individual?

When logging in as an individual I will see any plans I have an ownership of.When logging into a circle I will see any plans I have an ownership of and plans for any members of the circle regardless of my ownership of them

Example: The Marvel Circle - members are Thor, Hulk, Widow & Panther

All members have read or write access.

All members have their own individual plans

All member will see all plans (regardless of ownership) when they view the circle

Panther has 1 plan. Viewing as an individual they will see the 1 plan

Viewing the Marvel Circle - Panther will see their plan as well as all the other plans

Multiple Circles

Where an individual can have multiple plans with multiple ownership and with multiple owners in multiple circles, this will come down to the circle visibility assigned.

Example: Jiminey, Spencer and Lonely Cricket are all in circle Cricketsville.

Jiminey Cricket has 50% ownership on a plan with Spencer Cricket.

The plan is visible to circle Cricketsville and all circle members have access to the circle Cricketsville.

  1. As 'Jiminey' I will see this plan

  2. Viewing the Cricketsville circle as Jiminey, I will see this plan

  3. Spencer and Lonely Cricket viewing the circle will see this plan

Example: Jiminey, Spencer and Lonely Cricket are all in circle Cricketsville.

Jiminey Cricket has 50% ownership on a plan with Swishy cricket.

Swishy and Jiminey Cricket are in the Crickets circle.

This plan has been left visible to all circles

  1. As 'Jiminey' I will see this plan

  2. Viewing the Cricketsville circle as Jiminey, I will see this plan

  3. Viewing the Crickets Circle as Jiminey, I will see this plan

  4. Spencer and Lonely Cricket viewing the Cricketsville circle will not see this plan as they have no ownership

Example: Jiminey, Spencer and Lonely Cricket are all in circle Cricketsville.

Jiminey Cricket has 50% ownership on a plan with Swishy cricket.

Swishy and Jiminey Cricket are in the Crickets circle.

This plan is only visible to the Crickets circle

  1. As 'Jiminey' I will see this plan

  2. Viewing the Cricketsville circle as Jiminey, I will not see this plan

  3. Viewing the Crickets Circle as Jiminey, I will see this plan

  4. Spencer and Lonely Cricket viewing the Cricketsville circle will not see this plan

Other things to be aware of!

Rounding

Plannr will apply rounding where plans have shared ownership and the value is an odd number, we will round to the nearest penny.

Fact finds

Any plans created within a factfind will automatically be set to not show on Circles - it will then be up to the user (you) to make them visible to those who need to see them on their client portal.

Graphs dates

When setting dates on the graphs, if a date is selected where no data exists and you hover over this date the hover values will go to the nearest point on the X axis.

Be aware of these:

❗Linked plans

If you have a plan that is visible in a circle and link a plan, that is not visible in the circle, it will become visible in the circle. However, if you are not an owner of the linked plan, you will get an error message if you try to view the plan

❗ Inactive plans

If you mark a plan as inactive, it no longer shows on the portal and also will not show on the graphs or in the net worth even if you use the dates to backdate

❗ Removing a client from a circle when in multiple circles

Client Stanley is in Circle A and Circle B. Client Stanley's plan is set to Circle A as the circle for the plan to be visible to. Stanley gets removed from Circle A as a client, this will instantly make this plan visible to Circle B as which circle you want this plan to be visible to is now blank (which means all circles).

Solution: If the plan is not to be visible to Circle B, change the Visible on Client Portal toggle to No before removing Stanley from Circle A.
