Linked Policy Numbers

The linked policy number functionality is designed for users to link policy numbers together where the Provider Remuneration statement policy number is different to the policy number added at Plan level.

Policy Link Management

The Policy Link Management page is where you can see all the policies where links have been created. Within this area you can manually add policy links, delete policy links or edit a policy link.

Setting up a link

  1. Select Add New from the top bar

2. A modal will appear in which you can confirm the provider, the policy number as it's held on Plannr and the policy number the provider has in their statements

3. Once completed hit Save and your link will be created

You will have the option moving forward to edit or delete these where permissions allow

You will only be able to amend the provider's policy number, if you require further detail to be amended you will need to delete the link and start again.

Linked Policy settings

If you navigate to Settings > Income Reconciliation > Linked Policy Numbers, you can choose how you want the policy linking to work.

Within the settings you have three options to choose from;

Always / Ask / Off

Always: The linking functionality is on. When you select to link a provider statement item to an estimate, or vice versa, where the policy numbers are different, the linking function will happen automatically. The link can then be viewed under the Policy Link Management area.

Ask: The linking functionality is on but rather than the link happening automatically, the user is asked if they want to create the link. E.g When you select to link a provider statement item to an estimate, or vice versa, where the policy number is different, the user will get a pop up messaging asking them to confirm, with a Yes or No, if they want to create a policy link. The link can then be viewed under the Policy Link Management area.

Off: The linking functionality will not happen when you select to link a provider statement item to an estimate, or vice versa, that has a different policy number. Linking will only occur if there is already an existing link in place.

Please note:

  • Links cannot be created to a null policy number.

  • Where a link exists, if the number on the plan details page is removed this will delete the existing link.

  • Where a linked policy number exists, if a user creates a duplicate or a link with the same detail but to a second plan, the first linking will continue to work. In this scenario, should the user require the second linking to work, the original link should be removed.

If you want to do this in bulk, you can use our Plans importer to input these details - as always, ensure to run on Validate mode first and then Update mode when you're happy there's no errors
