How to impersonate a clients fact find

In certain scenarios, you may need to complete a fact find without directly involving the client, or if you're completing it on their behalf when sat in a meeting with them. This guide outlines the options available to manage and complete a fact find, ensuring minimal client interaction where preferred.

Methods to Complete Fact Find Without Notifying the Client

For users who do not want to notify clients via email invites, the following steps can be used to complete the fact find:

  1. Bypassing Email Notification: - When sending your client a fact find session,

    you will be prompted with the option, "Would you like Plannr to automatically send the client an email inviting them to complete the factfind?" - Select "No" to ensure no email is sent to the client.

By choosing this, the system will not notify the client and you can proceed without their involvement. You just need to then click the "Eye Icon" to view the Fact Find, via the Portal.

Using Client Impersonation to Complete a Fact Find

Alternatively, the impersonation feature can be used. Here is how:

  1. Impersonate the Client: Within the Client Record, click Access. You'll then be presented with either "Create Login" or "Impersonate". Click Impersonate.

2. Selection Duration: You can then select the duration of the impersonation.

When impersonating, you will go through the exact steps the client would take, ensuring that you input all the necessary information accurately. This method is particularly useful for users who want to ensure the fact find is completed correctly without requiring client assistance.

Please note - the impersonation option does require the Client to have a portal login already set up.

Adviser Session-Based Tracking

You will be able to track the clients fact find session within the 'fact find session' area on the client record.

There are 2 statuses that the fact find can be. They are 'In Progress' and 'Approved'

  • The fact find is In progress once it has been sent to the client

  • The fact find will change to Approved once the client has selected the complete option on the fact find to submit their responses

  • Where a fact find is sent to more than one client (circle) the status will not show ‘Approved’ until all members of the fact find have completed it

Can I ensure that the fact find doesn’t involve the client at any point?

Yes, by selecting the "No" option for automatic email notifications and using client impersonation, it is entirely possible to complete a fact find without any direct client involvement.

Does impersonating a client affect the outcome of the fact find process?

No, impersonating a client produces the same result as if the client had completed the fact find themselves. This ensures accuracy and consistency.
