Our Tasks system in Plannr has been recently updated!
Adding a Task
In Plannr, you can add tasks from multiple locations:
From the Quick Actions in the Dashboard
From the Client, Plan or Case
From My Tasks
Via a Workflow
For this example, we're going to be adding a task from the My Tasks section in the Dashboard.
From here, select the + icon above any of the columns. These columns represent the different Task Statuses.
This opens up the following modal:
1. Enter in a name for the task.
2. Enter a description for the task.
3. Select a due date if you wish, but this is not required.
4. Choose which employees and/or clients should be assigned to this task. It will auto-assign the task to the person creating it, but you can remove this by pressing the X icon.
5. Is this task recurring?’ - Yes/No
6. If Yes is selected, you’ll be presented with the recurrence frequency
If Daily is selected, for example, then each day at 5am, the task will generate again - with the same name, description, status, etc.
7. Select the task priority. This can be low, medium, high or highest.
8. Choose the status of this task.
Select if the task should be against the client, case or plan.
Save when ready!
Please note:
Tasks will recur regardless of status (e.g. including Archived ones).
If you want to stop a recurring task, edit any task with the recurrence and change ‘Is this task recurring’ to No. This will stop the recurrence.
It’s not possible to add recurrence settings to a sub-task, but the sub-task will recur along with the parent task.
Content of a task (description, custom fields, statuses, etc) will recur along with the tasks, however Notes & Logged Time do not.
Due dates will be populated based on the time between the creation of a task and the due date, e.g. if it's in 10 days time, it will be in 10 days from when the recurrence happens.
Task recurrence rules are as follows:
Daily - every dayWeekly - every 7 days
Fortnightly - every 14 days
Four weekly - every 28 days
Monthly - every nth day of the month, eg 2nd Wednesday in March
Bimonthly - every nth day every 2 months
Quarterly - every nth day every 3 months
Biannually - every nth day every 6 months
Annually - every 365 days (weekdays)
Editing Tasks
If after creating a task you need to edit it, you can do so easily. From the My Tasks page in the Dashboard, click on the task you wish to edit.
This takes you to the task under the client, case or plan that it is stored against. From here, select Actions and then Edit.
From here you can edit the task as you wish! Once done, remember to Save the task.
You cannot edit Archived or Completed tasks.
