Fact find access controls

From within a Circle you can determine which members have the permission to answer a fact find on behalf of other members.

Go to the Fact Find Access Settings tab under the Work menu, and you'll see all circle members listed, with the other participants' names underneath them. Simply select the tick/cross next to each member to configure their access.

Additionally, note that the way permissions are configured can influence how completion statuses are tracked for each participant. Ensuring accurate configuration helps avoid future discrepancies.


Once you've configured this, you can send the fact find off for completion. If the client can answer for other people, when opening the fact find they will see that their screen is split so that they can answer for two participants at the same time:

If there are more than two people in a circle, the client can toggle between records to view additional circle members and complete their fact find too - subject to access permissions.


Completion Status Behaviour and Troubleshooting

In shared-circle scenarios, fact find completion statuses depend on every member submitting their sections. Discrepancies can arise when one member completes for another or when sections aren’t completed directly by the assigned user. For accurate record-keeping:

  • Verify who has submitted each section.

  • Cross-check the fact find overview to see pending submissions.

  • Encourage all members to log in individually to submit their data. These steps can help resolve or mitigate discrepancies effectively.
