Creating a new template in Plannr's template builder for your fact finding

You can find your existing fact find templates, and create new ones, in Settings, and clicking on Fact find templates.

Here you'll see a list of all the fact find templates you have created (or have been migrated from your pre-existing fact find schemas in v2 of Plannr's fact finds).

Editing your existing templates

Any migrated fact find templates from your pre-existing fact find schemas will be locked, if you have open fact find requests with any of your clients (e.g. they're midway through filling it out). This is so you don't make changes to the template that break a fact find currently in use.

In order to edit a locked template, you can select Clone & Edit from the dropdown menu to create a copy which you can work on. Once that copy has been edited, you may publish it and use it with your future clients.

To edit a fact find template name or description click on the three dots under Actions and select Edit details.

Here you will be able to change the template name, description and your opening statement which the client will see when they open their fact find session.

Click Update to save any changes, or cancel to exit.

To edit the fact find template, click on the three dots under Actions, and select Open.

Here you will be taken to the template builder, with multiple options for editing available to you.

  1. You can edit the title of a section, or your introductory paragraph, by clicking on the edit pencil in the section header.

  2. You can expand each question block to show all the questions available to you within the block, and switch those questions on or off by toggling the hide/show button - more on this below.

  3. You can add new blocks and custom fields to your sections to add content to your fact find template.

Let's take a look in more detail at the block editing.

  1. Clicking on the down arrow will expand the block content to reveal all the available questions in this section.

  2. You can hide questions by toggling this button to off, if you do not wish for it to show in your fact find.

  3. You can re-order questions by clicking and dragging on the move-me block.

  4. You mark a question as mandatory (e.g. the client MUST answer this question before they can submit their fact find answers to you) but checking this box.

  5. You can use conditional logic to only show this question where a condition has been met - more on this below.

  6. You can edit the question style and detail by clicking on the cog icon.

Let's edit the question by clicking on the cog.

Here the field in Plannr is labelled Married to partner. You may wish to change this to a more useful label, so let's change this and enable conditional logic, so this question only shows when the fact find answer to Marital Status is Married.

Now if the client says they are married, this question will show to determine if their present relationship is the one their marital status relates to (e.g. they may be married but not to their current partner).

This question will otherwise not show for any other answer entered under the Marital Status question.

You can add multiple rules by selecting the Add Rule button, and determine whether ALL rules must match or if just any of the rules can match, in order to make the question show within the fact find.

Click Update to save, or Cancel to exit.

Here you can see the question label has been updated and there is conditional logic against this question.

Building a new template

It's simple to build a new fact find template - just click on the New template button at the top of your template list.

From here you will give your fact find template a name, a description and an opening statement, which your client will see when they open the fact find session in their client portal.

You can embed a help video as shown above, by clicking on the Embed video icon and pasting in the URL from your host, e.g. YouTube.

Click Create to save, and then we'll open the fact find template to build it, by clicking on the three dots below Actions.

The first thing you'll need to do is Add a section. Click on the Add section button to give your section a name and an introduction paragraph, if required.

Click Create to save.

From here you can build your section using pre-existing blocks, or add an empty block to add your own custom field questions as required.

Let's grab the Personal Details pre-existing block and make some tweaks to it, to suit our fact find. Click on the move-me tile to the left of the block description and drag it over to your new section.

Now you can expand the section to see all the questions that are available to you within this block, by clicking on the down arrow.

In this block there are 18 available questions, which you can toggle to hide or show by clicking on the button to the left of each question. You can also mark a question as required (e.g. the client MUST complete this before submitting their fact find to you) if you absolutely need this information. Ticks that are greyed out are Plannr-mandatory, that is we cannot create a client record without these fields, so you are unable to uncheck these to make them optional.

You can re-order the questions by moving them, grabbing the move me tile to rearrange.

Here we've hidden some questions that aren't relevant at this stage. They will remain in the Plannr client record, but won't be asked in the fact find.

Let's add some conditional logic to the UK residency question, so it only shows if the UK Domicile question is answered Yes.

Click on the Conditional Logic icon against the question you wish to be conditional, and toggle Enable conditional logic to On.

Here we can add as many rules as we want, and determine if EVERY rule must match in order for the question to be displayed in the fact find, or if only ANY rule can match in order for the question to show.

Here we will add the rule that the answer to UK Domicile must be yes, in order for residency to be asked.

Click Update to save.

Now you can see your question has conditional logic applied to it as the icon has turned green.

Let's add another block to the section to capture Contact information and change some of the question styles and labelling. Simply drag and drop from your block selection into the open section and place below the previous block.

On expanding the block we can see the four questions available, for editing. Click on the cog icon next to each question and change any labelling as required.

Instead of Label / Name, I am going to ask the question whether this is a home, work or mobile number that the client wishes to provide.

Click Update to save.

You can also mark a question as required (this makes it mandatory for completion before a client can submit their fact find answers to you) and add conditional logic here, as required. I'm going to change the label for Primary? and mark it as a required question.

Marking a question as required in the fact find does not make it a mandatory field in the client record, so future client records can be created without this field being compulsory for you to complete.

Now, within the Contact Details block, I'm going to add one of my Custom Fields (already set up in my Settings > Custom Fields area) by dragging a custom field block into the block questions space in my section.

Currently, only custom fields at a client level can be added to your fact find template, however we plan to shortly release plan level custom fields into the template builder as well. (Updated May 2026).

If a custom field is deleted from Settings > Custom fields, this will delete the field from the fact find template

You can continue to add new sections, blocks and custom fields to build out your template until you have everything you need.

If you want to take a look at your fact find and how the client would experience this in their client portal, click on Actions top right and select Preview.

Here you'll be taken through the fact find experience as your client would be, page by page, with all your customised introductory notes. There's sample client data in there too so you can see what a pre-completed client fact find might look like.

You can toggle between single and joint view to see what the fact find would look like for couples, too.

Let's head back to Plannr to publish the fact find template ready for use. Click on Back to Plannr to return to your adviser site.

Return to the template and click on Publish top right. Confirm you wish to publish, and your template is ready for use with clients!
