Tasks Import

In Plannr, you have the ability to import Tasks. More information on Imports is available here.

Completing a Tasks Import



Download the CSV Template

If you already have a CSV to import, you can skip this step

Go to Imports from the Business tab on the left hand side menu. From here, select Add New as if you were going to complete the import. You'll be taken to the Import Wizard, where you can select the type of importer you wish to run. Once the Tasks importer is selected, you'll see a link appear below saying download sample import CSV. Click on this and the CSV template will be downloaded!



Populate the CSV

If you already have a CSV to import, you can skip this step

Once downloaded, input your data into the CSV.



The fields are explained below:

uuid rrefers to the uuid of the task , this is only required on update imports.

* taskable_type this field is required and refers to where the task should be added. This can be:
Case
Client
Plan

* taskable_uuid this field is required and refers to the unique identifier of the Case / Client / Plan so whichever has been added to the taskable_type.

status_uuid refers to the specific uuid status, this is not required if the status_name has been completed.

* status_name this field is required and refers to the status for the task. These will be unique to your firm but will include Completed and Archived.
If the is_complete = yes or the is_archived = yes then this is not required and will populate the status for you.

Is_complete refers to the whether a task is complete or not.
Please note this is alias of setting the status_uuid / status_name of the completed status, just a shortcut but must not be used with status_uuid / status_name is also filled in and a different status.

Is_archived refers to the whether a task is archived or not.
Please note this is alias of setting the status_uuid / status_name of the archived status, just a shortcut but must not be used with status_uuid / status_name is also filled in and a different status.

* name this field is required and refers to the name for the task.

description refers to the description of the task.

due_at refers to the date the task is / was due.

priority refers to the description of the task. This can be:
Highest
High
Medium
Low

author_id refers to the author who would have created the task.
If not completed it will default to the person carrying out the import.

completed_at refers to the date the task was completed and will default to today if not populated.

completed_by_uuid refers to the person completing the task.

assigned_employee_uuids refers to the uuids of the employee / employees assigned to the task. When you're inputting the UUIDs into the spreadsheet, you need to separate them with a comma but no space

assigned_client_uuids refers to the uuids of the client / clients assigned to the task. When you're inputting the UUIDs into the spreadsheet, you need to separate them with a comma but no space

parent_task_uuid refers to the uuid of the parent task, if present then the task will be created as a subtask of the parent specified.

initial_note_type. refers to the note type and only used for store to add an initial note. If completed the initial_note_contents will be a required field. This can be:
call
note
meeting
email

initial_note_contents refers to the text required in the note and only used for store to add an initial note. If completed the initial_note_type will be a required field.

Any custom fields created for tasks will be detailed in separate columns allowing you to import data into these fields.

UUIDs can be found by looking at the end of the url this is a client UUID.

After the /, you'll see a string of letters and numbers. This is the universally unique identifier.



Once you're happy with the information in the csv, save it.



Import the CSV

Go back to Imports from the Business tab and select Add New.



This brings you back to the Import Wizard. Here, you'll be taken through the import, step by step.

More detailed information on this can be found here.

First is the Setup. Here you must select the Tasks importer from the dropdown, select the Create mode and upload the relevant file. We would always recommend running the import in Validate mode before creating.



Proceed through the steps and, once it's complete, you'll see this screen, confirming that the import has succeeded.



You will now be able to see all of the imported tasks against the client, case or plan. The screen shot below is an example of a completed task imported with a note.



They will also be visible on the tasks board
